Would we like to hold an Alliance-wide meeting sometime this month? If so, let's have those most interested in attending give us an idea of when they would be available.
Things to discuss at the meeting:
1 - GVG and other PVP endeavors we would like to help each other out with.
2 - suggestions people have for Alliance "events"
3 - generally just get to know each other; a sort of greet-and-meet for newer members
4 - whatever anyone wants to discuss, of course!
I am available Friday nights and Sunday nights for now, as well as some random weekdays. My schedule is busy but flexible enough that you don't need to worry about me most likely.
I think alliance meetings should happen every two months, so if we have one in Sept our next would be in Nov. Sound good?
(Let's not dwell on the process of all this too much; mostly just help figure out a time to get together. Also start thinking about whether you have anything you want to share and work on making it succinct ^_^ )

After today, I won't be available again until Sept. 25, but after that I should be around most of the time. For the day/time, I would suggest we pick a date and make it consistent. As a pure example: meet the second Saturday of the odd numbered months from 6:30 - 8 GMT.
How formal do we want this to be? Is it just going to be a brainstorm-like session or do we want to have some sort of structure? If we want to have a structure type thing, then we need at least 2 actual positions: a moderator to keep things on topic and call for votes and stuff and a clerk to take minutes for posting on the boards so people who couldn't make it know what happened - neither of which neccessarily has to be an RB member. Would also need to decide on how many people from each guild would need to be present for the meeting to be valid (so we don't leave guilds out). Lastly, is this going to be done in-game and over alliance chat (or local if everyone meets in one GH) or via something like IRC or vent? The RB vent server has a limit of 50 (iirc) unless KoP decided to lower it down. IRC would make logging easier than using the in-game chat (unless someone wants to get in touch with the GW server admins and request their logs).
Anyways, I think a meeting is a good idea and one of the things that (imo) definitely needs to be discussed is the alliance itself, how we want to structure it, how we want to go about advertising ourselves (if at all), what we want the alliance goal to be, and who we want the "leadership team*" to be.
* Leadership team means the aforementioned moderator and clerk, since they would be actual positions of responsibility. That is, assuming we decide to have them.

I usually screen-cap and create logs for our meetings every month as I hold them, and I can probably do the same for this meeting. We'd just have to set the RULE that nobody uses Alliance Chat for anything other than *the meeting* during its duration. All other conversations can go into local chat or trade chat or whispers or whatever works for people. This is to keep me sane while creating the log of the meeting ^^
Oh yeah I guess that answers your question of what format the meeting will done in. Alliance Chat. Yes we'll all meet in some guild hall for it, but Alliance Chat will be used for meeting-related conversation.
As for agenda-setting... what I do for our guild meetings is set the agenda when I announce the meeting. So, we can start setting the agenda right now. Let's try for one "agenda" per guild. In other words:
RB will have an agenda they'll post/update here; Arch will have an agenda they post/update here; LIFE will do the same. I don't think anyone wants to sift through "suggested topics" submitted by 5 different Arch members, which overlap/contradict each other.
So, each guild is responsible for coming up with a single agenda to discuss at the meeting. Conflicts/overlaps between separate guild agendas is fine, as that's relatively manageable; we'll just skip or combine topics as we get to them at the meeting.
It doesn't matter who presents the agenda or anything. It will be there for *everyone* to refer to, and we'll just let topics "naturallY" run their course before we move on to the next. Absolutely anyone can initiate the progress; nobody needs to wait until *I* decide to move on to the next topic in the Arch agenda, for instance, if the previous topic has deteriorated into "random chat."
So, where do we go from here? Start making an agenda. If it's short, that's cool. That means there's not a lot of issues on the table. If it's really long, try to decide what's high priority and what's not, as any more than 6 topics per guild is basically right out; we don't want to take up too much of anyone's time, nor do we want the meeting to lose attendees as too much time goes by. I expect 3-4 topics per guild to be the norm.
Let's set the tentative date for the meeting as Sept 29. Time: 9 EST. Is that good? (We have to accomodate as many people as possible, so if *more* can be accomodated by changing the date/time, we need to change it.)

Really, I don't know where they get off using PST and such. Everyone knows PST is the global standard time.

(this seems like a relatively high-activity time for Arch, which is why I threw it out there thinking possibly the same is true for others)

Unfortunately I am not available on weekends when most people have days off, but every second Saturday sounds good for turnout.
List what positions need to be filled and let see some volunteers who want to help out with alliance duties.

No "positions" to fill, really. For Arch I will likely present the agenda and do most of the talking initially, but that's because that's what I'm used to doing for our guild meetings. Basically each guild just needs to set their agenda prior to the meeting.
As for administrative things during the meeting: have one or two people take screencaps of Alliance Chat during it, and then past it all together for a big "chat log" that will later be posted for everyone to refer to and discuss (particularly useful for those who could not attend the meeting).
If you want someone to "keep everyone on task," that's alright too, although in our meetings it's usually either myself (the guy with the agenda to run through) or a random person that moves us on to the next topic every time. If Alliance Chat is limited to "relevant" chat, this shouldn't be a big issue, as once we run out of meaningful contribution to a topic anyone who knows the next topic can suggest to move on to it.
So as far as Arch is concerned, once we figure out what we want to talk about we'll be good to go.
